Assets

The Asset record in ThingTech stores detailed data about each unique vehicle or piece of equipment in your fleet. In addition, the Asset record is the ‘hub’ for many other records in the system.

After navigating to the Asset detail record, a user can perform the following functions:

  • View any data about the Asset
  • View the Real-Time Location and Status of the Asset
  • View Edit any data related to the Asset – i.e. Meter, Device, Alarm Rules, or Alarms

For some advanced deployments of ThingTech, some users may also be capable of advanced features listed below. To find if your ThingTech deployment provides this functionality or to learn more, please contact ThingTech Support at support@thingtech.com

  • Viewing advanced telematics data
  • Creating custom data fields
  • Updating the Page Layout of the Asset record

How to Categorize Assets

Below is a description of each field available to categorize your fleet of Assets:

Field

Description

Description

Description is a text field that can be manually or automatically set to any value. The value in this field is used in the Real-Time GPS Tracking grid to display the name of the Asset. *

Group

Groups are set up via the Groups tab. First, enter a new Group. Then, navigate to the Asset and assign the Group via the Asset interface. Group assignment of the Asset determines how the Asset is grouped in the Real-Time GPS Tracking grid.

Department

Department is a drop down field that is user definable by your Administrator.

Fleet

Fleet is a drop down field that is user definable by your Administrator.

Type

Type is a drop down field that is user definable by your Administrator.

Location

Location is typically used to note the Garage or Storage location of the Asset. Locations must be entered via the ‘Locations’ tab, then assigned to each Asset via the Asset interface.

Employee

Employees are typically used to note that the Asset is assigned to a specific Employee. Employees must first be entered via the ‘Employees’ tab, then assigned to each Asset via the Asset interface.

Typically, the ‘Description’ field is set to the same value as the Asset Name field. However, some users wish to modify the Description field for ease of locating Assets in the Real-Time interface. As a best practice, many users choose to concatenate the Name field with other Asset fields listed in the table above. Users may update this field manually, or can contact ThingTech Support (support@thingtech.com) for assistance in automating this process.

As noted above, the Group and Description fields impact how the Asset will be displayed in the Real-Time grid and mapping interface.

Additional Fields on Asset

There are other fields broken out into categories on the Asset object. These sections contain standard ThingTech fields that can be populated during implementation. If there are additional custom fields required, please work with ThingTech Support to see if the field(s) can be added.

  • Vehicle Information

  • Insurance and Registration

  • Vehicle Component Details

  • Categorizing Information

  • Utilization and Useful Life Details

  • Maintenance and Condition Details

How to Create / Edit an Asset

To create a new Asset, a user may opt for one of the following methods:

  • Use ‘Create New’ shortcut from left sidebar function  

  • Navigate to Assets tab, then Select Button

After initiating the New Asset, a blank Asset screen will appear and the user should fill in the appropriate information. Note: fields marked with a red line on the left of the side of the field are ‘Required Fields’. As standard, ThingTech does not require any fields except for a ‘Name’ field. However, to support your unique business processes, your System Administrator may customize to require additional fields to be required.

After an Asset record has been saved, a user may need to edit data on the Asset record periodically. There are multiple methods to perform an update of Asset data:

  • Navigate to the Asset record, press Edit button.
  • Navigate to the Asset record, double click the field you wish to edit, then update and save.
  • Edit Asset from the List View by pressing Edit hyperlink next to Asset 

How to Assign a Device to an Asset

Devices can be assigned to Assets using the ‘Device’ field on the Asset record. For some deployments, installers may take advantage of the ThingTech Device Installation application to automatically assign Devices to Assets. To begin, simply Edit an existing Asset and navigate to the ‘Device’ field. To edit, click on the 'search' button on the right to look for available devices to assign.

Important Notes:

  • This section is only applicable if the ThingTech Real-Time component is being used.
  • Device records must be created before they can assigned to an Asset. To read about creating Device records, please see the Devices section.
  • The system will NOT allow users to assign the same Device to multiple Assets simultaneously. Therefore, the system will only present unassigned devices to the user.

The user should search for available devices by Device Name. The results will display Device Name, CalAmp ID, Record Type, ESN, and IMEI.  Make the correct selection and Save the Asset.

After saving, the new Device will be assigned to the Asset.

Note: Only Assets with devices assigned will be displayed in the Real-Time interface.
